The ACT Group Portal (“the App”) is an internal employee application operated by Applied Conveyor Technology, Inc. doing business as The ACT Group, Inc. (“we”, “us”, or “our”). This privacy policy explains how we collect, use, and protect information when you use the App.
The App is intended exclusively for authorized employees of The ACT Group, Inc. and is not directed at the general public or children under the age of 13.
When you sign in and use the App, we collect and process the following categories of information:
Account Information (via Microsoft Entra ID)
The App authenticates you through your organization’s Microsoft account. During sign-in, we receive your display name, email address, job title, and Microsoft user ID from Microsoft’s identity service. We do not collect or store your Microsoft password.
Work Data You Enter
The App allows you to create and submit work-related documents including daily timesheets with workforce hours, equipment, and parts information; safety reports such as Daily Safety Reports, Job Safety Analyses, and Vehicle Inspections; service and inspection reports for air cannon and conveyor equipment; and customer information such as company name, address, and contact details.
Signatures
Some reports require a digital signature drawn on screen. Signatures are embedded directly in the generated PDF report and are not stored separately.
Photos
The App may allow you to attach photos from your device camera or photo library to inspection and service reports. Photos are included in the submitted report and are not independently uploaded or stored by the App beyond the report itself.
All information collected through the App is used solely for internal business operations. Specifically, we use your information to authenticate you as an authorized employee, generate PDF reports from the data you enter, upload completed reports to your organization’s SharePoint site (groupact.sharepoint.com), send reports via your device’s email client when you choose to do so, and save report copies and timesheet templates locally on your device for your convenience.
On Your Device
Authentication tokens are stored using your device’s secure storage (Keychain on iOS, Keystore on Android). Saved reports and timesheet templates are stored in the App’s local storage on your device. This data remains on your device and is not transmitted elsewhere unless you explicitly submit a report.
On Company Systems
When you submit a report, the generated PDF is uploaded to The ACT Group’s SharePoint environment and/or sent via email, depending on your selection. These systems are managed by The ACT Group, Inc. and are subject to the organization’s IT security policies.
Third-Party Services
The App communicates with Microsoft’s identity and Graph API services for authentication and SharePoint file management. We do not share your data with any other third-party services. The App does not contain advertising, analytics trackers, or third-party SDKs that collect personal information.
Locally stored data (saved reports, timesheet templates) remains on your device until you delete it within the App or uninstall the App. Reports uploaded to SharePoint are retained according to The ACT Group’s document retention policies. Authentication tokens are refreshed automatically and can be cleared by signing out of the App.
You may sign out of the App at any time, which clears your authentication tokens from the device. You may delete saved reports and timesheet templates from within the App. You may choose to submit reports via SharePoint only, email only, or both. Uninstalling the App removes all locally stored data.
The App is an internal workplace tool and is not intended for use by anyone under the age of 13. We do not knowingly collect personal information from children.
We may update this privacy policy from time to time. The “Last updated” date at the top of this page reflects the most recent revision. Continued use of the App after any changes constitutes acceptance of the updated policy.
